The Fleet Operations Analyst will lead the planning, coordination, and oversight of U.S. fleet operations to support agricultural fieldwork and logistics. This role ensures fleet efficiency, regulatory compliance, and cost control across all operations. Key responsibilities include managing day-to-day fleet activities such as vehicle procurement and disposal, billing and lease accounting, budget management, operational data analysis, and maintaining strong vendor and supplier partnerships. The ideal candidate understands the unique demands of agricultural operations and can align fleet strategy with seasonal and regional needs.

Reports to: Director of Finance

Role Responsibilities:

  • Develop and implement the fleet management strategy, policies, and procedures.
  • Oversee the acquisition, maintenance, and disposition of company vehicles.
  • Collaborate with the insurance department to verify data accuracy for policy renewals and ensure all drivers are provided with up-to-date insurance cards.
  • Partner with the Accounting team to ensure all leased vehicles are accurately recorded in the General Ledger under ASC 842 and Fixed Assets system to support precise financial reporting
  • Maintain a comprehensive master data report of all vehicles, whether leased or owned, to ensure accurate reporting
  • Prepare and manage the fleet program budget, monitor expenses, and identify cost-saving opportunities.
  • Analyze fleet-related data (fuel usage, repair costs, etc.) to identify areas for cost reduction and increased efficiency.
  • Monitor and manage all fleet-related billing, including leases, fuel cards, and service expenses, to ensure timely and accurate payment.
  • Administer lease agreements and oversee the vehicle lease lifecycle to ensure timely vehicle replacements for employees as required
  • Ensure fleet operations comply with all local, state, and federal regulations.
  • Manage relationships with suppliers and third-party vendors, including leasing companies, mechanics, and parts suppliers.
  • Provide regular reports on fleet performance, including utilization, costs, and maintenance trends.
  • Utilize fleet management software and analytics tools to track fleet performance and optimize operations.
  • Stay current with industry trends and emerging technologies that can enhance fleet operations (e.g., telematics, electric vehicles, fleet management software).


Education:

  • Bachelor’s degree in Accounting or related field required


Experience / Skills / Abilities:

  • Strong collaboration skills and ability to work with multiple departments and stakeholders.
  • High level of organization, prioritization, and attention to detail.
  • Adaptability to changing organizational and operational needs.
  • Strong communication skills in English (written and verbal).
  • Intermediate to advanced proficiency in Microsoft Excel (e.g., Pivot Tables, VLOOKUPs, Functions).
  • Experience with ERP systems and reporting tools (preferably JD Edwards Enterprise One).
  • Excellent analytical and communication skills.
  • Willingness to travel and work extended hours to meet deadlines for special projects.

Job Expectations / Working Conditions:

  • Work in an office environment at a desk for extended periods using a computer.
  • Occasional travel may be required.
  • Overtime may be necessary to meet deadlines, especially during month-end and year-end closings.
