We are seeking a highly organized and proactive Administrative Assistant to join our team at Koch Guadalajara. The successful candidate will play a pivotal role in managing administrative tasks, coordinating events, and ensuring smooth operations within our office environment. This role demands excellent communication skills, a strong sense of urgency, and the ability to create a welcoming atmosphere for both employees and visitors.

What You Will Do

  • Manage reception duties, including welcoming and assisting visitors, customers, and suppliers.
  • Receive and dispatch correspondence, equipment, and other deliveries.
  • Oversee the administration and usage of BookMyDesk, ensuring it is always up to date and effectively used by employees.
  • Administer and operate video signage, ensuring it is fully functional with consistently updated and relevant content.
  • Manage the Game Room, keeping it organized and ensuring employees understand usage principles.
  • Coordinate logistics for site visits, including transportation services, restaurant reservations, and special events like town halls.
  • Administer the access control system, maintain and assign badges for employees and visitors, and prepare routine reports, working towards automation.
  • Coordinate coffee break requests and ensure timely cleanup post-events.
  • Maintain inventory of office supplies to support uninterrupted operations.
  • Organize special events and celebrations, ensuring all preparations for Town Halls and site events are complete.
  • Manage employee cafeteria operations and ensure meals are provided according to site principles.
  • Assign and administer employee parking spaces, ensuring all employees have up-to-date badges and parking cards.


Who You Are (Basic Qualifications)

  • Good English written and oral communication.
  • Excellent organizational and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Proficiency in managing office tools and software.
  • Ability to anticipate needs and provide solutions proactively.
