Position Overview: We are seeking a highly organized and proactive Executive Assistant to support the Plant Manager in ensuring smooth operations and employee engagement at our facility. The ideal candidate will play a vital role in planning and organizing events, managing schedules, maintaining inventory, and coordinating corporate visits to foster a motivated and productive environment. Key Responsibilities
Event Planning & Organization:
Plan and organize monthly and quarterly engagement events for salaried staff employees to promote motivation and team collaboration.
Coordinate logistics, venue arrangements, and schedules for events.
Meeting Room Management
Manage the usage and scheduling of 5 meeting rooms within the plant to ensure optimal utilization.
Schedule Management
Organize and maintain the Plant Manager’s meeting schedule, ensuring timely preparation and follow-up.
Coordinate appointments, internal and external meetings, and business commitments.
Expense Reporting & Business Travel Planning
Prepare and submit expense reports on behalf of the Plant Manager.
Plan and organize business trips, including travel arrangements, accommodations, and itineraries.
Corporate Visit Coordination
Organize and plan corporate visits, including meeting agendas, facility tours, and hospitality arrangements.
Plant Scorecard Maintenance
Update and maintain the plant scorecard on a monthly basis, ensuring accurate reporting of key performance metrics.

- Education: Associate or bachelor's degree preferred.
- Experience: 1-2 years of experience in an administrative or executive assistant role.
- Language Skills: Bilingual (English and Spanish) required.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, etc.) is essential.
- Key Competencies:
- Strong organizational and time management skills.
- Excellent verbal and written communication in both English and Spanish.
- Ability to multitask and prioritize workload effectively.
- Detail-oriented with a high degree of accuracy.
